SMARTPRINT PRIVACY POLICY

Your documents.
Your privacy.

This policy explains how the SmartPrint website and Windows app handle information when shops and customers use the printing service.

Effective and last updated: 6 November 2026

1. About this policy

SmartPrint connects a print shop’s Windows workspace with a customer upload, payment and order-tracking flow. The shop selected through the customer QR or link handles the physical printing and collection of the order.

For platform or privacy questions, the published contact is Priyanka Choubey at admin@scan2print.com or 7890551101. This policy covers SmartPrint’s service; print shops, payment providers, Microsoft components and other service providers may also apply their own privacy practices.

2. Information we process

Shop account informationOwner name, email, password hash, mobile number, shop name, business address and location details supplied during registration or setup.
Customer & order informationCustomer name and mobile number, uploaded filenames and document contents, selected print options, order amount, pickup code, tracking and print states.
Payment informationMerchant gateway credentials supplied by a shop, provider order/payment references, amounts, verification results, subscription and refund records. Checkout payment details are handled through the configured provider.
Printer & device informationDevice name, printer names and drivers, reported capabilities, connection/heartbeat information and job/spooler references needed to deliver and review printing.
Operational informationSecurity/audit events, request/network information such as IP addresses in infrastructure logs, timestamps, technical errors and messages you send when requesting support.

Only upload documents you are entitled to print and share with the selected shop. Customer uploads may contain personal or sensitive information chosen by the uploader; SmartPrint processes the supplied file for the requested print workflow.

3. How information is used

  • Create and secure accounts, identify the correct shop, manage approval and subscriptions, and provide support.
  • Validate and prepare documents, count pages, calculate prices, receive provider payment results and queue eligible paid print jobs.
  • Deliver jobs to the shop’s authorized device and printer, show order/tracking information, and support pickup and review of interrupted jobs.
  • Maintain transaction, reporting, audit and operational records; protect against unauthorized access, duplicate processing and misuse.
  • Apply document-retention settings and investigate support, correction, deletion or privacy requests.

The app does not require a personal pairing code in its download. A device connection is created after a signed-in shop owner clicks Connect this computer and confirms the shop. Downloading the universal installer does not assign a computer to an account.

4. Who receives information

Your selected print shop and its authorized device receive the information needed to fulfill the order, including the document, customer/order details and print options. Shop staff can physically see printed output. Please choose a shop you trust and ask it about its handling of paper copies.

Payment providers, such as the shop’s configured Razorpay or Cashfree account, process checkout and payment verification. The app uses provider references and payment results; it does not provide a SmartPrint form for storing full card details. Subscription payments use the platform’s configured checkout.

Infrastructure and software providers support the service. The deployed service uses Oracle Cloud hosting; Windows printing and Microsoft WebView2 support the desktop experience. Public web pages may load fonts from Google Fonts. These providers may receive technical information under their own settings and policies.

Authorized platform operators may access information for support, security, maintenance or a verified request. Information may also need to be preserved or disclosed where a valid legal requirement applies.

5. Document retention and deletion

Unpaid uploads normally expire after 24 hours. After a shop confirms physical printing, the document becomes eligible for cleanup according to that shop’s configured retention period. An unfinished or interrupted job may retain documents within a bounded recovery window. The current shop policy is shown to the customer before upload.

Deletion is processed by scheduled cleanup. Pending checkout, unfinished jobs and recovery handling can delay removal. Retention can differ between shops; check the policy displayed for the selected shop.

Active storage is not the same as every copy.
Encrypted backups may retain older copies separately from active document storage. Windows, printer drivers, print spoolers and physical paper may also retain information outside the cloud cleanup process. Deleting a cloud file does not recall paper or erase a provider’s transaction records.

Account, order, payment, subscription and audit records have a different lifecycle from uploaded documents. They can be retained for service operation, accounting, security and request handling. Contact us for a case-specific correction, access or deletion request rather than assuming document cleanup deletes all associated records.

6. How access is protected

Production connections use HTTPS. Account passwords are hashed, merchant secrets are encrypted on the server, and permanent device credentials are protected for the current Windows account. Document delivery requires authenticated, limited access; public website links do not expose the document storage directory.

The native app limits which pages can request printer connection actions and does not pass account passwords, merchant secrets or permanent device credentials through its web/native messaging bridge. Shops can revoke authorized devices.

No software or storage system can promise absolute security. Keep your Windows account and printer environment secure, protect merchant credentials, sign out on shared computers and contact us promptly if you suspect unauthorized activity.

7. Cookies and browser storage

SmartPrint uses an essential session cookie for account login and request-verification controls for account changes. The customer browser stores an upload capability so files can remain associated with the same customer flow, and private tracking links provide access to the relevant order.

The Windows app uses its own WebView2 browser profile and a local job journal. The profile can preserve a login session; the journal helps prevent uncertain jobs from being printed again. Local device credentials are kept separately in protected Windows-user storage.

Clearing browser storage or losing a private tracking link may prevent access to a pending upload or order. Payment-provider checkout, Google Fonts and Microsoft components can involve their own storage or network requests. This product page does not add advertising pixels or marketing analytics.

8. Your choices and requests

You can choose not to upload a document or create an account. To stop further document submission, stop uploading; to review existing data or request access, correction, deletion or withdrawal of consent for future processing, contact us using the details below and identify the relevant shop/order without sending unnecessary sensitive files.

We may need to verify your identity and coordinate with the print shop before handling a request. Requests may be limited by an order already fulfilled, records a provider controls, legitimate record-preservation needs or copies outside SmartPrint’s direct control. We will explain the applicable handling when responding.

Shop owners can change supported retention settings, sign out or disconnect a device, and revoke device access from the workspace. For physical output, pickup, print quality or a shop-payment refund question, contact the shop handling that order. For platform access, subscription or privacy concerns, contact SmartPrint.
